Overview

CHA Consulting, Inc. is currently seeking Project Coordinators for our Transportation Group in one of our CHA office locations: Atlanta, GA or Indianapolis, IN or Colonie, NY or any CHA office in New England.

Responsibilities

  • Perform a variety of project administration duties, including spreadsheet maintenance, preparation of contract forms for approval/tracking, distribution of reports
  • Type and proofread memoranda, reports, letters, charts, graphs using word processing, spreadsheet and data management applications
  • Take notes at meetings and prepares minutes
  • Prepare and process paperwork necessary for purchase orders and notice to proceeds, prepare client invoices packages, code vendor invoices, assist with certificates of insurance, assist with collections activities, etc.
  • Compile accurate data to prepare reports as needed
  • Handle SharePoint sites for projects and programs
  • Assist with proposal and reports including coordinating technical group inputs, formatting, mail merging, proofreading, shipping, copying, report collating, binding and word processing
  • Assist with filing and other word processing
  • Assist project coordinators with project deliverables
  • Enter information into spreadsheets and databases, perform searches and run reports
  • Interact with employees, clients, subcontractors and vendors etc.
  • Assist in budget and schedule set up and tracking and communication of fee, scope execution, and/or scheduling issues to technical teams
  • Assist in preparation of project plans, quality plans/checklists, and health and safety plans
  • Assist in backlog forecasting and pipeline updates
  • Assist with the project closeout process, project archiving, and qualifications/resume updates
  • Assist with management of subconsultants and subcontractors including the contracting, COI, AR/AP process

Qualifications

  • Associated degree in Business, Finance, Accounting, Engineering or related degree required
  • 3+ years of experience in Project Administrative, Coordinator or a similar assistant project management role required
  • Understanding of project management process of ascertaining work, executing work, and post-project procedures
  • Understanding of business systems, financial tracking and other project management systems
  • Proficiency in Microsoft Excel and Access required
  • Excellent written, oral, presentation, communication, organizational, and computer skills
  • Strong ability to function successfully in team environment
  • Must be extremely organized
  • Can take direction from several individuals as well as work on a variety of projects simultaneously
