Overview

CHA Consulting, Inc. is currently seeking a Bridge Inspection Project Coordinator in our Colonie, NY office.

Responsibilities

  • Perform a variety of project administration duties including; spreadsheet maintenance, preparation of contract forms for approval/tracking and distribution of reports.
  • Take notes at meetings and prepares minutes.
  • Prepare and process paperwork necessary for purchase orders and notice to proceeds. Prepare client invoices packages, code vendor invoices, assist with certificates of insurance and collections activities, etc.
  • Compile accurate data to prepare reports as needed.
  • Interact with project staff, clients, subcontractors and vendors etc.
  • Assist with budgeting and scheduling as well as tracking and communication of fee, scope execution, and/or scheduling issues to technical teams.
  • Assist in backlog forecasting.
  • Assist with the project closeout process, project archiving, and qualifications/resume updates
  • Provide day-to-day decisions and planning.
  • Serve as primary point of contact for routine issues of scheduling, staffing, subcontract service coordination, and production rates.
  • Prepare subcontracts and key technical/administrative correspondence.
  • Prepare estimates of staffing and subcontractor needs.
  • Prepare cost control and progress reports.
  • Coordinate flow of BIN folders, preparation of field forms and inspection report assembly.

Qualifications

  • Associates Degree in Business, Finance, Accounting, Engineering or related required.
  • 10+ years of experience in Project Administrative, Coordinator or a similar assistant project management role on bridge inspection projects.
  • Understanding of the project management process of ascertaining work, executing work, and post-project procedures.
  • Understanding of business systems, financial tracking and other project management systems.
  • Proficiency in Microsoft Excel and Access required.
  • Excellent written, oral, presentation, communication, organizational, and computer skills.
  • Strong ability to function successfully in team environment.
  • Must be extremely organized.
  • Can take direction from several individuals as well as work on a variety of tasks simultaneously.
