    CHA Consulting, Inc. is currently seeking a Director of Facilities & Space Planning in our Colonie, NY office. 

     

    The Director of Facilities and Space Planning will provide overall leadership and technical expertise in the creation and execution of plans related to the development, maintenance, and enhancement of all CHA facilities. With responsibility for more than 280,000 square feet of leased and owned space, in more than 30 domestic locations, this individual will manage the design, planning, fit out, and maintenance of buildings and other facilities systems in coordination with key stakeholders including CHA’s office operations and office management personnel, staff, leadership, vendors, contractors and service providers.

    Responsibilities

    • Leads the development, implementation and oversight of short and long-term planning goals designed to effectively utilize CHA’s office space, including the integration and/or disposal of acquired space as a result of an aggressive M&A strategy. Analyzes and forecasts potential space use changes through software driven scenario planning. Provides pertinent space use planning information to CHA leadership team.
    • Develops the strategy associated with all real estate transactions, including the review and negotiation of office lease agreements, both new and renewals.
    • Responsible for planning, developing and implementing standards, procedures and systems designed to increase overall effectiveness and optimization of CHA’s facilities. This role will lead the development, documentation and maintenance of CHA’s facilities’ standards, policies related to space usage, and performs duties in full support of CHA’s brand and office look.
    • Evaluates budgetary projections and monitors associated financial costs to inform the annual budget. The position plans, budgets and schedules facility modifications, including cost estimates on equipment, labor, materials and other related costs.  Hires and directs consultants as required to develop space change plans and improvements as necessary.  Analyzes budgetary and other impacts of office moves and renovation for space planning. 
    • Manages “staffing moves” and provisional facilities needs for staff affected by new construction, renovation or space allocation and use changes. Organizes and oversees all building and site data, documentation and reporting including plans, drawings, specifications and construction documents.
    • Manages companywide office security standards and controls, including policies and procedures related to parking.
    • Oversees the coordination with landlords, office management personnel and others to ensure the optimization, standards and maintenance of building space allocation and layout, communications and other systems services, HVAC, power, other general building systems (telecommunications, network ports, building security systems, electrical and mechanical systems, etc.) and general building operations support systems, services and equipment including the fleet of printing and plotting equipment, cubicle partition systems, etc. for all facility expansions, contractions, re-organizations and facility needs related to staff “moves”, hires, special needs accommodations and terminations.
    • To the extent not provided as part of a leasehold agreement:
      • Develops and manages maintenance programs for facility equipment and systems, including HVAC and office equipment. Manages the upkeep of equipment and supplies.
      • Directs and manages all Environmental Services and Maintenance activities (HVAC, Electrical, Fire Protection Systems, Grounds and Building Maintenance, Security, and Systems Engineering) in order to maintain efficient, effective, and consistent operating procedures 24/7 including but not limited to general and preventative maintenance.
      • Plans and coordinates all installations (network and telecommunications, heat, electricity, power, building security, etc.) and refurbishments with landlords, office management personnel and others.
      • Stays abreast of buildings’ structures conditions assessment to determine the need for repairs or renovations.
    • Ensures compliance with administrative, legal and regulatory and building code requirements and quality and standards requirements of CHA Companies to ensure that the facility is optimized to meet cost and productivity requirements and supports staff morale. Ensures compliance with health and safety standards and industry codes.
    • To the extent not provided under a leasehold agreement, supervises all facilities staff (custodians, technicians, groundskeepers etc.) and external contractors.
    • Oversees the maintenance of current records and documentation to track updates of changes to all facilities and systems.
    • Responsible for the overall management of the CHA fleet program which includes more than 50 vehicles. Will plan, organize and oversee the maintenance and repair of the fleet and develop and implement policies and procedures for record keeping, purchase, operation, maintenance, repair, and performance of vehicles and associated equipment.

    Qualifications

    • Bachelors Degree in facility management, engineering, business administration or relevant field required.
    • 10 years of leadership experience managing a large complex facilities program, including the acquisition or renewal of lease agreements is required.
    • Experience leading complex capital projects is highly preferred.
    • Demonstrated ability to: manage relationships with internal and external partners in a collegial manner.
    • Ability to work on multiple projects with competing deadlines; establish goals and workload priorities.
    • Thorough knowledge of budgets, planning, and trades; and effectively organize, prioritize and handle multiple tasks to meet established deadlines.
    • Progressive experience and responsibility in a maintenance field and position directing a multifunctional maintenance program.
    • Experience demonstrating knowledge of systems such as HVAC, plumbing, electrical, mechanical and code compliance.
    • Experience preferred in multi-site management and planning of building technology and engineering systems including security, network, power.
    • Extensive knowledge of all fire, code & safety regulations and OSHA regulations.
